THE ROLE
key responsibilities
warm welcome & check-in
- Greet clients with a friendly, professional demeanor ensuring positive first impressions
- Efficiently check in clients for appointments, confirming paperwork and providing required information
appointment scheduling & coordination
- Manage appointment booking systems with accurate service scheduling
- Coordinate with service providers for special requests and appointment modifications
client communication
- Handle phone calls, emails, and in-person inquiries professionally
- Provide accurate information regarding services, availability, and pricing
retail sales & product knowledge
- Assist clients with retail product selection and skincare recommendations
- Process sales transactions accurately and efficiently
front desk presentation
- Ensure reception area remains well-presented, organized, and clean
- Monitor and replenish supplies including brochures and refreshments
administrative support
- Assist with filing, data entry, and appointment confirmations
- Collaborate with management for smooth daily operations
client records & privacy
- Maintain confidentiality of client information
- Ensure compliance with privacy laws and regulations
- Accurately update client records and documentation
guest inquiries & reservations
- Provide information about services, packages, and promotions
- Assist booking additional services or special event reservations
additional responsibilities
- Assist in special projects as assigned by management
QUALIFICATIONS
what we're looking for
required
- Proven front desk or customer service experience, ideally in high-end spa or hospitality settings
- Exceptional communication and customer service skills with professional demeanor
- Strong organizational and multitasking abilities
- Proficiency in computer systems including scheduling and point-of-sale software
preferred
- Knowledge of skincare products and services
- Previous high-end medical spa or luxury hospitality experience
